Well, it looks like the LCCAB failed to read email from 100's of potential vendors - again. They sent a flyer out in early 2010 telling all vendors to use http://www.luckettsfair.com and faircommittee@luckettsfair.com. Today they tell me they are changing that information. So for a second year in a row, they tell vendors to send email and web traffic to a domain that we host, and then after a few months change their mind. In the process they abandon 100's of vendor emails - any wonder there were so few vendors last year?

To make sure there is no misunderstanding this year and make it clear that Lucketts.net is doing everything we can to help the LCCAB, we're posting all email exchanges about the web site.

All correspondence from the LCCAB to Lucketts.net will be posted as a matter of public record. The LCCAB is a Virginia not-for-profit corporation, and as such they have no expectation of privacy for any email they send in official capacity. We will blank out the email addresses from bystanders to protect their privacy.

Original message send to LCCAB after we noticed that they sent a flyer telling vendors to use our web site and email

Hilary,

We're happy to see that in the recent flyer to all vendors the LCCAB has announced that they are using our donated web services and email  to support the fair this year - www.luckettsfair.com and faircommittee@luckettsfair.com.  Lucketts.net is happy to donate these services.

Email is already starting to pile up in the faircommittee@luckettsfair.com account, and the web page drastically needs the new content for this year.  Could you please pass on our contact information to the faircommittee point of contact so that we can provide them a password to pick up email with?  We also need to know who the web designer will be this year so that we can give them access to the space to put up this years content when they call us to ask for the password.

We will also offer our webcams this year for the fair. We were already planning on having webcams on the roads leading to the fair, and if you wish we can place webcams in strategic locations in the fair itself.

If you are still looking for a webmaster, we can ask around and could probably find someone local to volunteer their service.  We don't have that skill available in-house right now or we'd be happy to provide it.

Terms for the donated web and email service are same as previous years.  The web page needs to credit lucketts.net for the donation of the service, and the web content must be tasteful and family friendly.

Second email we sent to LCCAB after getting no response from the first:

Hilary,
We have not heard back from you regarding our email sent 16 March 2010.  We still need an officer of the LCCAB to assign a POC  that is authorized to manage passwords for email and webpage. In case you are on vacation or something, I'm forwarding the original email to all of the email contacts we have associated with the fair in the hopes that it will get to one of the officers that can take action.

We're pleased to see that you have announced that the LCCAB will again be using the website and email accounts hosted by Lucketts.net to support the Lucketts Fair.  We look forward to helping in any way we can.  At this time we advise that a POC be assigned soon to start going through the email that is already building up on our server since your announcement went out in February, and that you identify your webmaster authorized to control content on the hosted web pages.  We would be glad to offer the names of a few local webmasters that may be willing to donate their services this year to maintain the web content.

thanks...

First response we received on this issue from LCCAB. Note here that they directed lucketts.net to delete the email account, consigning 463 emails from potential vendors to oblivion.

Steve

I am the POC for the web site coordination for LCCAB.  Thanks for the offer to host our web site, however, we have made other arraignments last year and are continueing with them at this time.. The food vendor email that was sent out had a typo for the weblink, it should have been theluckettsfair.com and we are in the process of communicating the correction to them.  As far as email piling up, we would like for you to delete that account as the email from the vendors etc has been directed to another account and the email that you are referring to can be deleted.  We have a web designer and are currently in process of working with them.  Thanks again for the offer.  We appreciate the relationship we have had over the years but are moving in another direction.

Matt

I did not announce anything about the website,  I inadvertently did not change the site when I sent out the food vendor packages. I will correct this as I did with the crafters as we are using theluckettsfair.com now as far as I know.

Matt Quitter is in charge of all of this for the LCCAB, you need to  check with him.

Thanks

HC

Matt,

It's hard to believe that such a major error by the LCCAB could occur again this year. This is two years in a row that the LCCAB has let vendor requests for information sit unread for months.  We've notified the LCCAB both years as soon as we discovered the LCCAB oversights. We're trying to be proactive and help out when the LCCAB has such problems with technology, but we can only do so much when you send forms to vendors telling them to use our services, wait a few months, and then refuse our donated services.  It may appear to the casual observer in the community that the free service you keep rejecting is working harder to take care of you than the service you are paying.

If you are again turning down the offer of donated services, then Lucketts.net will continue to use the luckettsfair.com domain to serve the community as we see fit.

If you change your mind and would like a proactive, competent, local, donated web hosting service, let us know.

In the meantime, I'll post this thread on the luckettsfair.com website to explain to the community what is going on. It's always good to provide a clear public record in case there is some future misunderstanding.

Let us know if we can help in the future...

Matt's a good guy trying to fix things broken by others.

I'm a little surprised that nobody is interested in what 463 people have to say in their emails sent to us about the fair. I'd assume that a few of the potential vendors expect their emails to be read.

Steve

Again, we want to thank you and your professional business for the assistance, help and donated services throughout the past years.  The 'major' typo error we inadvertantly made is in the process of being corrected and is being directed to the effected vendors. The email that is sitting in your server can be deleted as we have directly contacted all the vendors for this years fair to reply to another email address.  We do the majority of the fair business by snail mail and if a followup is needed they have a new email address to communicate to us.  Of course, since you own the luckettsfair.com domain and want to continue to utilize it for you own purposes, we ask that you be professional in its use.

Thanks

Matt

The new site (theluckettsfair.com) looks really nice and professional. I can understand the quality being better when a service is paid for, as opposed to a site made by volunteers donating the time and service. Not that the donation shouldn't be appreciated, and the communication probably should have been better. Either way, I'm looking forward to the fair!

Stan,
The content of a site has nothing to do with the host. The fair committee was always planning to use their own web designer. We just provide the canvas to put the web content on. It's a very simple task.

The "commercial" host that the web committee paid was unable to deliver pages reliably. Their server returned constant server busy error messages, a sign it was overloaded. Has nothing to do with the content.

We offered free web hosting. We do not do professional graphics or pretty web pages.
